How I filed my Japan Police clearance

Requesting for a Japan Police Clearance is not that difficult. Just make sure you have the right information of what to do before deciding on going to the nearest Japan Embassy. The following is the list of things you need to know and must have:

1. Make sure your case is at US Embassy Manila already. If it is there, call the embassy and make an interview appointment. Print the appointment letter that USEM has sent to the beneficiary.

2. Secure a request letter from US embassy stating that you need to have a Japanese Police Clearance for your K1-Visa Application. How to get this letter? Well, I’ll tell you what I did.

With my NOA2, Passport and my Interview Appointment letter, I went to the US Embassy in Manila. You can’t go inside the embassy without this Appointment letter.

From Bacolod City, I arrived at NAIA around 7:30 in the morning, I went directly to the US Embassy. It was almost 8:30 when I got there, went inside and told the guard that I need to go to Window X for the request letter. The guard asked for my Appointment Letter, I showed it to him together with my NOA2. Onced inside the Embassy, I went to Window X, the lady asked me for my Manila Case Number and my passport. She then told me to take a sit and wait for my name to be called. After 10 minutes, she called me back again and handed me the letter.

3.Go to Japan Embassy. Please remember to bring one valid I.D. when you go there. We went there, left our valid ID’s at the guardhouse and went inside. One of the staff gave me a form, I filled it up and gave it back to her. After that we waited for my name to be called. After the staff called my name again, she gave me back the form and also asked me to go to Camp Crame for finger printing and go back there again.

4. Go to Camp Crame for finger printing. I went to Camp Crame finger printing section then was asked first to pay, they have a bank inside. I paid 250 pesos and then have my finger prints.

5. Go back to Japan Embassy. Once i submitted the form with my finger prints, the lady gave me a receipt. You need to bring that receipt and your passport to claim the clearance. They will call you if the clearance is ready for pick up already. Now, I have a tip. If you leave in the province, do not apply for this clearance at the local Japanese Embassy because it will take longer there. It took me a month to have the clearance while my friend who applied in Davao had her clearance after 3 months.

Hello. I dont know if you still check up on your blog..but my fiance is in exactly your position regarding the Japanese Police Clearance as she worked there past 6 months. I was just wondering what the process and time frame was after submitting the Police Clearance. Can you elaborate a little bit on that please?

My fiance submitted her passport along with the clearance and they told her to wait for their call or letter. We hope the process will be quick and her Visa approved.

Above was my timeline for the k1 visa. BTW, I am confused on the part where you said your fiance submitted her passport along with her clearance. Does she have the Japanese Police Clearance already? Send me another message because I don't really understand what you are asking.

Joey said...

Thank you for your swift reply. Looking at your timeline, I see that you obtained your Japanese Clearance before the interview. I told my fiancee to try and do that, but the Japanese Embassy said they required a paper from the US Embassy. So, we just decided to wait until her interview. After the interview, the US Embassy gave the MNL-IV-22 form requesting the Japanese Clearance from the Japanese Embassy. After obtaining the Clearance, my fiancee went back to the US Embassy and submitted the Clearance along with her passport. They said that we should wait for their call or mail correspondence for further instructions. My fiancee and I are just wondering what the time frame for that is?

In hindsight, we should have obtained the clearance beforehand, by following your guidelines.

Thanks.

Hi Joey,

Thank you also for your reply. You know what, my friend who also worked in Japan submitted her Police Clearance after the interview just like your fiance did. Her visa was sent to her a week after she submitted it. Did your fiance pay Air21 after she went to the embassy to submit the clearance? If yes, then she can track it online. The receipt from air21 has a tracking number. If not, then she can call US embassy for follow up but give it a week or 2.

Joey said...

Yay! That relieves much of the anxiety we're experiencing right now. Thank you so much for the information.

My fiancee was not asked to pay the Air21 fee, but since its holy week, they told her to wait because of the holiday. So i guess, we'll wait a week and give them a call.

Thanks again!

Kuyahoga Wife said...

You're welcome. Hope she will have her visa soon. Goodluck.

Hi everyone! just seen this link and wanted to share my concerns about getting a police certificate from japan. I have also worked in japan for about a year. But i have a question Is it possible to get the said police certificate from our local japan embassy here in Cebu City? How many days would it take before we can have it in our hands? Or would it be good if we get them in Manila? Me and my fiance do not want to wait too long.

We would appreciate any reply. thank you

Kuyahoga Wife said...

Hello. Yes it is possible to apply in Cebu but I will not recommend it. It will take longer to have the clearance. I got my Japan Police Clearance 1 month after I applied in Manila but when you apply in Cebu, it will take about 2-3 months. The reason for the difference, is that Cebu Japanese Embassy cannot send your application directly to Japan but instead they will it send it to Manila then Manila will send it to Japan.

Don't worry too much. It won't take long. It usually take 1 week. Same thing happened to my friend you lives in Davao. She submitted her Japan Police Clearance after her interview and got her visa after a week. Goodluck. Keep us updated.

Kuyahoga Wife said...

Hi.

I am not 100% sure if you still need your old passport but in my opinion, I don't think they will ask for it and as long as you remember when you used to work there and until when. Also, if you really wanna be sure, try calling the embassy, I am sure they'll tell you.

I am sorry for this delayed reply and I hope things will work out for you. Goodluck and keep us posted.

Hi again.Ill be going to manila this monday to file for japan police clearance. did you happen to know any safety deposit box nearby for my electronic belongings?ci know i wont be able to get inside US Embassy with it.Can you suggest any safe budget hotels near japan and us embassy too? Looking forward for your reply.Thank u so much.- kathy-

Kuyahoga Wife said...

Hi Kathy,

When I filed my Police Clearance, I stayed at Cherry Blossom Hotel, It is closer to US Embassy than in Japan Embassy. I took a taxi and it wasn't that far. This hotel is very affordable and walking distance to Robinsons Mall.

When I had my interview, I stayed at Bayview Park Hotel, this one is only across the US Embassy. A little expensive but the place was very nice. I have no idea about safety deposit but I know that outside the US embassy some people there, make a business out of it, you can leave your gadgets to them but you have to pay in return.

Goodluck to your filing and hope it'll go smooth.

Thank you so much for your reply,i really appreciate it.ill keep you posted once im done filing.Godbless you!

Hi! thanks for sharing your experience. Just had my interview recently and I lacked one document which is my Japanese Police Clearance. So the embassy gave me a white form wherein it says that I have to submit the police clearance along with my passport. I filed my police clearance last Mar.29 in Manila.Just wondering why it's taking that long. I called JapEm 2 weeks ago and they said that it will probably be released 2 weeks after. So I thought maybe they're really pushing thru the 2 month time frame.Well I hope. Just wanna share my thoughts. I feel kinda restless thinking how long I still have to wait for it to be released.Oh well.I know God will make a way. :)

Hello Anonymous (sorry for calling you this)

I hope by this time, you already have your police clearance. I have no idea why it's taking them so long to process it but could it be because of what just happened there?
I know how you feel right now but just hang in there and soon you will have your visa.
Goodluck and keep us posted.

Kuyahoga Wife said...

hello Kathy,

Yes the interviewer told me that I passed after the interview and told me to pay for the visa delivery.
In your case, since you don't have your police clearance yet, they might give you a white paper and will not be asked to pay for the delivery.
Don't worry, like what I said to the previous post, the delay might be because of what just happened in Japan but I am sure you will have it soon.
Goodluck to you as well and keep us posted.

Kuyahoga Wife said...

Hello Anonymous 2,

I am glad you are done filing your police clearance. Now all you have to do is wait and maybe prepare for your other documents needed for the interview.
Wish you all the best. Keep us posted.

Hello,
I wish you filed it Manila because it will take longer in Cebu but there is nothing you can do about it but wait and maybe calling the embassy for follow up.
With regards to your question, yes you can have your interview without your japan police clearance. If i am not mistaken and if they have not change their policy, you will be given a white paper after the interview and will be asked to submit your police clearance once you will have it.
Goodluck at your interview.

Kuyahoga Wife said...

No it is not hard to file for k1 visa no matter how long or short you have stayed in another country, it will be treated the same way. The most important thing is that you and your fiance are both qualified and will be able to secure all the necessary requirements. Goodluck.

Hello,

Don't worry too much, as long as you have the necessary requirements then you are fine. Being in Japan will not affect your application, the Japan Police Clearance is a must, so just wait and if possible call the embassy for follow up. By the way, have you check this website ( visajourney.com)? This site is very helpful, a lot of them there can answer your questions as well. Make sure you go to Philippine forum.

Kuyahoga Wife said...

Hello,

During my time, confirmation letter is needed to be able to get inside the embassy and if you don't have it, they won't let you in because that is the first thing that the guard will check.
In your case, when you called the embassy and asked about it, what did they say? I am asking because they should know that the confirmation letter is important for the interview. Is there a way you can call them again? Tell them that you need it. I wish you all the luck and hopefully this will be resolve soon.

hello,

i just want to ask how long does the japanese embassy release the police certificate? i applied last may 2,2011 and until now, june 20,2011, its not yet available. I called the embassy many times already because they asked me to call after 6 weeks from the time i filed but until now, the police certificate is not available. Im really worried because the deadline set to us by the embassy is this coming first week of july already. We are done with the medicals already and all we lack is this japan police certificate...please shed us some light with this...

Kuyahoga Wife said...

Hello,

Normally the Japan Embassy staff will tell you or write it in your receipt ( that paper they gave you after applying for the police certificate) that it will take 1-2 months. During my time, it will only take a month but lately, I have noticed and based on the people commenting here that it's been taking more than a month to have it. Do not worry though, because even if you don't have it during your interview, you can still submit it on a later date. And keep calling Japan Embassy for follow up.

Anonymous said...

maam, thank you for your enlightenment. actually, in the receipt, it was written that the police certificate maybe issued 2-3 months but i was made to call 6 weeks after i applied for its issuance.... i was hoping it would not reach 3 months for the japan government to release my certificate because im only given until first week of july to submit it to the candian embassy. I have not committed any crime there. i am really just so weary because we have spent much already for our application in Canada..we are done with the medicals, all we lack is the police certificate.i hope this will not be the cause of our denial in our application for Canada immigration.what could probably be the cause for the delays?

Kuyahoga Wife said...

Hello. I am sorry for the delayed reply. BTW, I really have no idea why it's taking them so long now to provide the document. The only possible reason I could think of is that, it has something to do with the recent earthquake. I hope that by now though, you have it already. Keep praying and keep me posted.
Thank you.

hi there...im going to manila tomorrow to obtain a police clearance at the japanese embassy...since i cant call them right now coz it's sunday...maybe someone here can give me a quick reply...they asked me to bring my passport but i forgot to ask if it's my old passport when i worked in japan over 6 years ago or is it my new passport now...problem is,i dont have my old passport..

Anonymous said...

did u work in japan before ma'am?..did u use ur maiden name?...bec thats my problem now...i used my maiden name when i was in japan but when i went to japan embassy to file for a police clearance,i gave them my new passport with my married name...but i only realized it days later...does it matter?

Kuyahoga Wife said...

Hi.
Yes I used to work in Japan when I was still single. By the time I processed the police clearance, I was still single then. In your case, I think you should have informed them about your new last name ( assuming that you did not) because obviously, they will search for your record in Japan using your married name. Why don't you call the Japan Embassy and tell them about your concern before it's too late. I think that is the best way to do now.

Anonymous said...

hi i finished my interview already and they told me to get police clearance at japan embassy coz i worked there before. how much will i have to pay if i go to japan embassy today?whats the requirements and how long?the embassy told me once i have it ill just send it thru 2GO together with my passport. i am so worried about my k1 case. am i already denied or do i have a chance that us embassy will send me my visa?thanks ur respond will really help me. Kuyahoga Wife said...

Hello.

No need to worry. Just file for your Japanese Police Clearance right away so you can submit it as soon as possible. Call the embassy and ask information regarding the filing or you can read my blog on top to know how I did mine.
I will suggest that you file it in Manila for it will take faster there than in Cebu. Mine took a month.
Goodluck to you and let me know if you have more questions.

Kuyahoga Wife said...

By the way, you are not denied. It means that you have to submit that clearance to be able for them to release your visa.
Don't worry, I have a friend who had the same situation as yours and after she submitted the clearance she got her visa and she is now here in the US.

Hi Liv,

Thanks for your update. Yang 2Go is a courier in the Philippines, dyan mo ipadala yung police clearance and passport at sa kanila kna magbabayad. At the same time, once the embassy received it and send your visa, ikaw din magbabayad sa delivery, they will charge you pagtanggap mo mismo ng visa mo.
Call Japan Embassy before 45 days, I was asked to the same thing as yours but I kept calling before that and found out that it arrived earlier.
Liv, yes, they will let you know if you passed or not right after the interview. In your case, it is safe already to say that you passed but they cannot send your visa because you lack some requirements.BTW, did they give you white or pink slip?

I hope this helps.

liv said...

no , they didnt give me slip(pink or white):( ...tinawag lang number ko sa window 72 after my interview then binigyan me ng instructions abt the 2GO and ung dpt isubmit,(police clearance)..kaya nga ntatakot me kc d nmn me nktanggap ng slip or something..

Hi liv,

Yes you are allowed to attend the seminar without your visa but I think you need to go back again after you received your visa for stamp. If I were you, I will just wait for the visa, so you don't have to go back.

Kuyahoga Wife said...

Hi Jeff,

Oo exactly one month lng at nakuha ko ang Police clearance, so I would say it is possible. On the other hand,I also noticed that most people who commented in this post said that it took more than a month, almost 2 months. Wala talagang kasiguraduhan kung gaano katagal but just pray and hope na sana yung sayo ay mabilis din. Call the embassy a month after for follow up.

Jeffrey said...

Ma'am

Baka mas mabilis ma process pag within kanto area lang Japan sa Ibaraki kasi me galing.

That's possible too.

Hello,

If your case is in Manila already, you can schedule your interview and I'm guessing that the website they gave you is where you will make an appointment. After making an appointment, print that out and bring it the US embassy so they will give you the letter you needed to file for the police clearance..

Above is the detailed steps on how I filed for my police clearance. Please let me know if you have more questions.

Hi.
The name that the US embassy will use in the request letter is the name you are using in your visa application. Is it a changed last name only? Try calling Japan Embassy, maybe they can help.

BTW, this is kuyahoga wife.

Mae,

After your interview, they'll give you a pink slip because you don't have your Police Clearance.
With regards to your overstaying in Japan, I really have no answer to that but my advice is, go to Japanese Embassy in Manila and apply as soon as possible. It took a month for my Japanese Clearance to arrive and others were more than that. You can also ask somebody from the Japan Embassy regarding your concern.
By the way, once you have your Police Clearance, do not open it. It should remain sealed until you submit it to the US Embassy.
Good luck.

Thanks in advance.

Hi Maria,
Yes you should follow up after a month even if they told you it'll be released 2-3 months. Some took that long but also some like mine only took them a month. Goodluck and keep us posted.

Hello Kuyahoga Wife!
I hope you are still active here..
I have a question, i just filed my japanese police clearance today (Oct. 07 2013 i know its too late) as it is one of the requirements of K-1 Visa that i am filing, i already got my MNL case number and on the CEAC website, my visa status is READY. But i called USEM to check if they already got my case from NVC, they said that they only got the electronic file but they haven't got the physical file yet. My concern is, in your opinion, should i schedule my medical and interview next week (Oct. 14-18 2013) even if i don't have my police clearance yet or should i wait and have my police clearance til i schedule my medical and interview? Thank you very much! God bless!

Hi there,

In my opinion, I will just take my medical and interview so that if incase there will be problems during the process (God forbid) you still have enough time to deal with it and then all you have to do after that is to wait for your police clearance. You can then submit it later.

Hello kuyahoga wife,

I'm a K1 visa applicant too, and I'm currently here in Japan(tourist) this time is my 2nd time here, the same case with yours I need to obtain a police clearance here because I stayed for exactly 6 months here. Do you think it's possible to get a police clearance in a police head quarters even without a letter from the US embassy?
